Use the Teacher Cover Timetable function in the Cover Manager module to record teacher absence and manage cover arrangements.
Choose to:
Add a teacher absence. Staff absences can also be edited or deleted from here.
Contact absent teachers directly from the Teacher Cover Timetable. Click on a teacher's name to display the Staff Information window. This saves time if you have to discuss cover arrangements before publishing them.
View a teacher's absence history.
View an absent teacher's timetable. From here you can contact students directly with changes in timetable arrangements.
Arrange cover for lessons.
Delete cover arrangements.
View a teacher's cover history.
Customise the layout of the Teacher Cover Timetable to suit you.
Print the Master Cover Timetable for the date displayed. Click the printer icon in the header to quickly view and print a report of the day's cover. See Cover Reporting for more information.
Add Teacher Absence

Use the Teacher Cover Timetable to add a teacher absence record.
A breakdown of absence displayed in the Teacher Cover Timetable is shown below:
To add a teacher absence record from the Teacher Cover Timetable, follow the steps below:
Open the Cover Manager module.
Either:
Select the Manage Cover tab.
or
Select the Cover Status tab.
Select the Teacher Cover Timetable from the right-hand menu. Today's date is displayed by default, select another date if required.
Click Create Absence to display the Create Absence Record window:
Either:
Select a teacher to mark absent.
or
Select multiple teachers to mark absent. Use this to create identical records for multiple teachers.
Select the Absent Properties tab and complete the sections available:
Select the Absence Notes tab and enter additional notes, if required. For example, 'Throat infection, expected back to work on Mon 30/4/12'. Either:
Click Save & Close to save the record.
or
Click Save & Add to add further records.
The absence is displayed in the Teacher Cover Timetable. Buttons are available in each teacher's absence displayed:
Teacher Absence History
View a teacher's absence history from the Teacher Cover Timetable. This is useful for assessing the reasons a teacher has been absent and the amount of time they have been absent during a cover cycle. To view a teacher's Absence History Report, follow the steps below:
Open the Cover Manager module.
Either:
Select the Manage Cover tab.
or
Select the Cover Status tab.
Select the Teacher Cover Timetable from the right-hand menu. Today's date is displayed, by default.
Use the arrow and calendar buttons available to change the date displayed, if required.
Use the division filters in the header, if configured to be available, to filter the information shown.
Use the drop-down list in the top right of the window to change the cover cycle displayed. Use this to review the teacher's absence history in other cover cycles.
Click Print History to print the report if required.
Viewing an Absent Teacher's Timetable
Choose to view an absent teacher's timetable for the following reasons:
Review the teacher's other scheduled commitments, such as tutorials and meetings. You may need to inform tutorial students, or other staff members, of the teacher's absence. Only scheduled lessons are displayed in the Teacher Cover Timetable.
Use the buttons available in period boxes to contact students by e-mail or SMS message. For example, you may want to inform students of a teacher and room change.
Print form and setlists for the teacher's lessons. Forward lists to covering teachers, if required.
It is not recommended that you edit or delete any parts of the teacher's timetable. Changes to timetables should be done in the Timetable Manager module. To view an absent teacher's timetable, follow the steps below:
Open the Cover Manager module.
Either:
Select the Manage Cover tab.
or
Select the Cover Status tab.
Select the Teacher Cover Timetable from the right-hand menu. Today's date is displayed, by default.
Use the arrow and calendar buttons available to change the date displayed, if required.
Use the division filters in the header, if configured to be available, to filter the information shown.
Check the box to Show Cover Arrangements. These highlights covered lessons in the timetable displayed making it easier for you to identify the periods you want to work with.
Use the buttons available in the timetable, as required:

Click Close Window.
Arrange Cover for Lessons
Use the Teacher Cover Timetable to arrange cover for an absent teacher's lessons. This function is only available when teachers are marked as absent for the date selected.
An example of the Teacher Cover Timetable is shown below:
To arrange cover from the Teacher Cover Timetable, follow the steps below:
Open the Cover Manager module.
Either:
Select the Manage Cover tab.
or
Select the Cover Status tab.
Select the Teacher Cover Timetable from the right-hand menu. Today's date is displayed, by default.
Use the arrow and calendar buttons available to change the date displayed, if required.
Use the division filters in the header, if configured to be available, to filter the information shown.
Click on a lesson that requires cover (lessons requiring cover are red, covered lessons are green, lessons, where the teacher is not absent, are blue).
Several tabs are displayed, each listing teachers available to cover the lesson selected (unless otherwise stated):
Click either:
Cover Not Required in the bottom right of the window if no cover is needed for the lesson.
or
Select the most suitable teacher for cover. Each teacher's cover rating is shown next to their name to assist you. See below for an explanation of the information displayed for each teacher:
Click + On your selected teacher to cover the lesson.
Click to expand Cover Options and complete the sections available to add further detail to the cover record (this is optional).
Cover Options are displayed in the Cover Breakdown option when you are ready to review cover arrangements. More information is shown below:
Either:
Click Save Cover. or
Click Save Cover & Next to arrange cover for another lesson.
or
Click Save as All to allocate the selected teacher to cover all unallocated periods for the day. If periods have been allocated to other teachers already, these are not overridden. You are prompted to confirm your selection.
You are now ready to publish the cover arrangements you have made.

Teacher Cover History
View a teacher's cover history from the Teacher Cover Timetable. Use this view of the teacher's cover commitments in more detail.
You can check whether the cover has been published or delete cover arrangements if required. This function is only available when you are allocating cover to teachers.
